CHINA PROGRAM ASSOCIATE

Schedule/shift: Full Time - 37.5 HRS; Weekdays 8:30am - 5:00pm

General Purpose

Reporting to the Executive Director, carry out administrative duties to support the China program operations of the Council on East Asian Studies at Yale University (CEAS).

Essential Duties

1.         Design, implement and oversee China-related Council programs; liaison with faculty, students, other Yale departments and external contacts to review current programs and develop new initiatives.

2.         In conjunction with the Executive Director, coordinate and implement CEAS China public events such as lecture series, film series, conferences and workshops.

3.         Support faculty efforts in preparation of proposals and grant applications related to China studies.

4.         Assist with compilation of annual reports and program descriptions for funders.

5.         Serve as registrar for CEAS MA program; provide administrative support to Director of Graduate Studies; coordinate the MA admissions process; update MA brochure, blue book entries, and graduate course information.

6.         Edit China program publications and provide web site updates to the Administrative Assistant.

7.         In conjunction with Executive Director, coordinate and implement University Asian development initiative.

8.         Coordinate the China visiting scholars program.

9.         Administration of the China program grants, fellowships and post doctoral program in coordination with the Executive Director and the Financial Officer.

10.       Other duties as required.

Education and Training

1.         Six years of related work experience, four of them in the same job family at the next lower level, and high school level education; or four years of related work experience and an Associate degree; or little or no work experience and a Bachelor’s degree in a related field; or an equivalent combination of experience and education.

Skills and Abilities

1.         Ability to multi-task and work independently as well as part of a team.

2.         Highly motivated and organized.

3.         Well-developed writing skills.

4.         Computer proficiency including internet, word processing, spreadsheet, and database.

5.         Ability to work occasional evenings and weekends.

6.         Preferred:  Facility with Chinese language (Mandarin); past experiences of travel/work/study in China; and ability to travel and work in China.

General Purpose

Provide administrative support to the Chair, Executive Director, and Financial Officer of the Council on East Asian Studies at Yale University (CEAS). Ensure smooth operation of Council programs. Serve as receptionist for the Council.

Essential Duties

1.         Screen mail and compose general correspondence and written material.

2.         Screen telephone calls, email and greet visitors.

3.         Coordinate travel arrangements for faculty and visitors.

4.         In coordination with Executive Director and CEAS Program staff, update Council publications, website, and databases and inform the public about Council programs.

5.         Maintain office calendar and schedule. Maintain and update paper and electronic filing systems. Maintain Council inventory; update address and email listings.

6.         Assist Executive Director, Financial Officer, and Program staff with the coordination and implementation of CEAS annual grants and postdoctoral program application process.



7.         Assist Financial Officer with maintenance of financial files and processing of financial forms such as Expense Reports, Check Requests, etc. Assist with monthly statement reconciliations.

8.         Oversee work of bursary students.

9.         Other duties as required.

Education and Training

1.         Four years of related work experience, two of them in the same job family at the next lower level, and a high school level education; or two years of related work experience and an Associate degree; or an equivalent combination of education and experience.

Skills and Abilities

1.         Minimal keyboarding skills (25-39 wpm).

2.         Advanced computer skills in word processing, spreadsheets, database, desktop publishing, and web resources.

3.         Ability to work independently, meet deadlines, attention to detail.

4.         Strong "student and faculty service" orientation.

5.         Ability to work occasional evenings and weekends.

6.         Preferred:  Knowledge of East Asian cultures and protocols; ability to speak and write an East Asian language.
